description: "A text message CRM either sends texts from a business number inside the CRM, or syncs the texts you already send from your own phone. Most real estate CRMs do the first, so anything you text from your personal phone never shows up. If your clients text you directly, look for phone sync, and check what it stores."

# Text Message CRM for Real Estate: Why Your CRM Misses Your Texts

_By Kevin Sun_

**Tags:** CRM, Personal CRM

Here's a familiar one. Your CRM says you haven't talked to a past client in 94 days. You texted her yesterday. She sent a photo of the new backsplash.

The CRM isn't broken. It just can't see your phone.

A Chicago brokerage leader raised exactly this with us while shopping for a CRM for their agents. One large real estate CRM vendor had told them its system captured all of an agent's messages. Their answer: "When I jump over to my phone and I text something, you're not getting that."

For agents, that's a big gap. As they put it, some clients "will even do the whole contract with you via text." If your CRM only sees email, it's seeing the formal half of the relationship and missing the rest.

This guide explains the two things "text message CRM" can mean, what each one costs, and what to check before you buy.

**Fast facts:**

- "Text message CRM" means two different things: texting from a number the CRM gives you, or syncing the texts on your own phone.
- Most real estate CRMs do the first. Texts from your personal phone don't show up.
- Business texting from a CRM requires A2P 10DLC registration with US carriers, which vendors often charge for.
- Phone sync has limits too: it usually depends on your operating system, and what it stores varies by tool.
- For past clients and sphere, phone sync matters more. For buying leads, a CRM texting number matters more.

## Two kinds of text message CRM

When a vendor says "texting," ask which one they mean.

| | Text from the CRM | Sync your own phone |
| --- | --- | --- |
| How it works | The CRM gives you a business number. You text clients from the CRM app. | The CRM reads texts you send from your normal phone number. |
| What it sees | Only texts sent and received through that number | Texts from your real number, depending on the phone and the sync method |
| Client experience | Clients get texts from a number they may not have saved | Clients text the number they already have |
| Automation | Drip texts, auto-replies, lead routing | Usually none. It records; you still write. |
| Registration | Needs A2P 10DLC registration | None, since it's your personal line |
| Best for | Agents working new online leads | Agents working past clients and sphere |

Neither is wrong. They solve different problems. A team calling 50 new portal leads a day needs a business number with routing. A solo agent whose business is referrals needs to see that she texted the Johnsons last week.

## What CRM texting costs

Texting from a CRM is rarely free. Some examples, checked in October 2026:

| Tool | How texting works | Cost |
| --- | --- | --- |
| Follow Up Boss | Texting from the app; calling is an add-on on the Grow plan | Grow is $58 per user a month billed annually ($69 monthly). The calling add-on is $33 to $39 more. Pro and Platform team plans include unlimited calling and texting. |
| Wise Agent | WiseTexting add-on from a business number | $11 a month plus an $80 registration fee, on top of the $49 a month CRM |
| Cloze | Text sync on Business Gold and up | $29 per user a month billed annually ($34.99 monthly) |
| Dex | No business number. Syncs iMessage (including SMS) through the Mac app, plus WhatsApp and Instagram DMs | Premium is $12 a month billed annually ($20 monthly) |

Prices change often, so check each vendor before you buy.

## What A2P 10DLC means for agents

If a CRM sends texts for you from a regular 10-digit number, US carriers treat it as business ("application-to-person") texting. AT&T, Verizon and T-Mobile require those numbers to be registered under a system called A2P 10DLC, and unregistered business traffic can be filtered or blocked.

In practice, your CRM vendor handles the registration and passes on a fee, like Wise Agent's $80. You'll also need to follow opt-in and opt-out rules, which is why CRM texts often end with "Reply STOP to opt out." That line is fine for a new lead. It's a little strange in a text to your college roommate who bought a condo from you.

Texts from your own phone, typed by you, aren't business-platform traffic in the same way. That's one reason many agents keep personal relationships on their personal number.

## What phone sync actually captures

Phone sync sounds like the answer, and for sphere work it usually is. But read the fine print, because every tool has limits.

Start with your phone. iPhone texts live in iMessage, which Apple doesn't open to outside apps on the phone itself. Most iMessage sync, including Dex's, works through a Mac that has your messages on it. Android SMS is a separate problem with its own tools.

Then look at what gets stored. Some tools copy every message. Others keep only what they need to know you're in touch. Ask any vendor which one it does before you connect your phone.

Privacy follows from that. Storing every text from every client in a third-party database is a lot of risk to carry. For most agents, "I texted her on Tuesday about the backsplash" is enough.

## How to pick

Ask these questions before you sign up.

1. **Where do your clients text you?** If it's your personal cell, you need phone sync. A CRM number won't help with people who already have your number.
2. **Do you buy leads?** If yes, a CRM texting number with routing and speed-to-lead tools is worth paying for. Keep it for leads.
3. **iPhone or Android?** Check the sync method for your exact setup. "Syncs texts" on a pricing page often means "on some devices."
4. **What does it store?** Full messages, summaries, or just dates? Pick the least that does the job.
5. **Does texting update your follow-up reminders?** The point of capturing texts is so the CRM stops telling you to call someone you just talked to.

## Texts in Dex

Full disclosure: [Dex](https://getdex.com/) is our product. It's a personal CRM built around the people you already know, and here's how it handles texts.

[iMessage sync](https://getdex.com/docs/integrationsandfeatures/syncfeatures/sync-imessage) runs in the Dex Mac app (it's in beta) and picks up iMessage and SMS conversations, including green-bubble texts. It updates each contact's last interaction, so your [keep-in-touch reminders](https://getdex.com/docs/workflows/keep-in-touch) reset when you text someone. [WhatsApp sync](https://getdex.com/docs/integrationsandfeatures/syncfeatures/sync-whatsapp) and [Instagram DMs](https://getdex.com/docs/integrationsandfeatures/syncfeatures/sync-instagram) work the same way, which helps if your clients message you there. More on how agents use Dex is on our [real estate page](https://getdex.com/realestate/).

What Dex won't do: give you a business texting number, send drip texts, or route leads. iMessage sync needs a Mac that stays on with Dex running, and there's no Android SMS sync. If you need automated texting for leads, use a lead CRM for that and keep your sphere in Dex.

## Who this isn't for

If your business is mostly paid online leads, phone sync won't do much for you. You need fast first replies, routing between team members and texting at volume, and that's what lead CRMs are built for.

If you're on Android and don't use a Mac, Dex's text sync won't cover you. Look at tools built for Android SMS, or accept that texts won't be logged and lean on email and call notes.

## FAQ

### What is a text message CRM?

It's a CRM that handles text messages, either by letting you text from a business number inside the app or by syncing the texts on your own phone. Ask vendors which one they mean, because they work very differently.

### Why doesn't my real estate CRM show my texts?

Most real estate CRMs only log texts sent through their own app and number. Texts you send from your personal phone happen outside the CRM, so it can't see them unless it has a phone sync feature.

### Do I need A2P 10DLC registration as a real estate agent?

You do if you send texts through a CRM or texting platform from a 10-digit business number. The vendor usually handles registration and charges a fee. Texts you type from your own phone aren't sent through a business platform in the same way.

### Can a CRM sync iMessages from my iPhone?

Not from the iPhone alone. Apple doesn't let outside apps read iMessages on the phone. Tools that sync iMessage, including Dex, do it through a Mac signed in to the same Apple account.

### Is it safe to sync client texts into a CRM?

It depends on what the tool stores. Prefer tools that keep the minimum, like the date and last message, over ones that copy whole conversations. Check the vendor's security page and your brokerage's policies.

### Which is better for real estate, texting from the CRM or phone sync?

For leads, texting from the CRM. For past clients and sphere, phone sync, because those people already text your personal number.

## The bottom line

If your CRM keeps telling you to call people you texted yesterday, it isn't seeing your phone. Decide which problem you have: sending texts to new leads at scale, or seeing the conversations you already have. Lead CRMs solve the first. Phone sync solves the second, as long as it works on your phone and stores no more than it needs.
